Privacy Policy

This policy explains how Countermark handles information about three groups of people: visitors to our public pages, the member businesses and their staff who use the platform, and — most importantly — the customers described in member-contributed records, who are usually not Countermark users at all.

01Information we collect

From members: account details handled by our authentication provider (name, email, sign-in activity), business details (company name, trade, license number, service-area ZIP codes), and everything members contribute — customer records, job details, reviews, evidence files, and messages sent to other member businesses.

About customers described in records: names, service addresses (including map coordinates), phone numbers, and email addresses, together with member accounts of completed jobs: ratings, structured tags, job details, and written notes. This information is contributed by member businesses from their own transaction records; Countermark does not collect it from the individuals themselves.

From visitors: the public pages set only a cosmetic appearance cookie and the cookies required by our authentication provider. We do not run advertising or cross-site tracking.

02How information is used

  • to show member businesses the service history of customers within their own service area, so they can prepare for jobs;
  • to verify member businesses and moderate contributions, including reviewing evidence and resolving disputes;
  • to operate, secure, and improve the platform; and
  • to comply with legal obligations.

We do not sell personal information, and records are never used for advertising.

03Who can see what

There are no public customer profiles. Records are visible only to verified member businesses whose configured service area covers the customer’s location, and to Countermark platform staff for moderation. Customer email addresses and phone numbers are masked for members (first letter and domain of an email; last four digits of a phone number); staff see full values only for identity resolution and moderation.

Service providers process data on our behalf: authentication (Clerk), database hosting (Neon), application hosting and evidence file storage (Vercel, with evidence in private storage), address autocomplete and geocoding (Geoapify, U.S. Census Bureau), and map tiles (CARTO / OpenStreetMap). We may disclose information when required by law or to protect the platform and the people described in it.

04If you are described in a record

You do not need an account — or a record number — to exercise your rights. If you believe Countermark holds inaccurate information about you, or that a record should be removed, submit a record review request. A human moderator reviews every request; entries under dispute are annotated as such while the review is open, and moderators can correct, hide, or remove entries.

Where state privacy laws (such as the Minnesota Consumer Data Privacy Act or the California Consumer Privacy Act) grant you rights of access, correction, or deletion, you can exercise them through the same form.

05Retention

Countermark operates as a ledger: entries that are retracted by their author or removed by moderation are hidden from members but retained internally with their status history, so there is always an accurate account of what was recorded, by whom, and what happened to it. Moderation decisions are kept in an append-only audit log. Data is retained while it serves these purposes or as required by law.

06Security

Access to records requires authentication and is scoped server-side to each member’s verified service area. Evidence files live in private storage and are served only to platform staff and the contributing business. Contact details are masked as described above. No system is perfectly secure, but access is deliberately narrow by design.

07Children

The Service is for businesses and is not directed to children. Member records describe parties to home-service transactions.

08Changes and contact

Material changes to this policy will be posted here, and members will be asked to re-accept at sign-in. Questions can be raised with platform staff through the app; anyone without an account can reach us through the record review form.
